Request for Proposal: Executive Assistant (Contract)
Agencia Media is seeking a skilled and proactive executive assistant for a 6-month contract position. This role offers an exciting opportunity to support a mission-driven consultancy that partners with organizations to better serve audiences with news and information that tangibly improves lives.
The position requires 20 hours of work per month at $35/hour, with the potential for additional hours and contract extension based on performance. This is a U.S.-based remote position (CST or EST preferred).
Scope of Work
The selected candidate will provide comprehensive administrative support to ensure smooth operations and enhance productivity.
Key responsibilities include:
Calendaring and Email Management: Organizing schedules, managing correspondence, and ensuring timely follow-ups.
Travel and Logistics Support: Coordinating travel arrangements, accommodations, and itineraries.
Drafting Client Proposals & Reports: Assisting in preparing professional documents tailored to client needs.
Research & Development: Assisting in prospect or project research, such as competitive analysis, field research, surveys and user interviews.
Basic Bookkeeping: Managing expenses, invoices and financial records.
Occasional Personal Tasks: Handling ad hoc tasks as needed.
What We’re Seeking
We are seeking candidates who demonstrate:
Clear and Proactive Communication: Ability to convey information effectively and anticipate needs.
Problem-Solving Skills: Adeptness in navigating digital systems and software to find efficient solutions.
Key systems include: Google Workspace, Calendly, Slack, Fathom Video, Zapier, AirTable, Freshbooks, SimilarWeb, SEMRush, Canva and SquareSpace
Accuracy and Attention to Detail: Proven track record of thoroughness in administrative tasks, document preparation and data entry.
Excellent Writing and Editing Skills: Ability to produce written materials that are clear, consistent and professional. Familiarity with editorial style guides is a plus.
A passion for audience development, community engagement, or entrepreneurial journalism is a plus.
